5 years of experience as an Executive Assistant, Senior Office Assistant, or in a comparable executive support role
Ihre Aufgaben
  • Executive-level organizational and administrative support for the Head of Commercial and Head of Medical Affairs
  • Planning, coordination, and follow-up of complex internal and external events (e.g. workshops, congresses, advisory boards)
  • Full responsibility for event-related contract management and coordination with Legal, Compliance, and Finance
  • Proactive compliance management within a regulated pharmaceutical environment
  • Close collaboration with external agencies, hotels, venues, and other service providers
  • Proactive identification of requirements, risks, and dependencies across executive activities
  • Strong transfer capability: translating information, decisions, and changes into concrete actions across multiple workstreams
  • Independent management of projects and special assignments with full accountability
  • Continuous improvement of administrative processes, workflows, and executive support structures
  • Handling of highly sensitive information with absolute confidentiality and discretion
Das sind Sie
  • Completed commercial training or degree (e.g. Office Management, Business Administration, Management Assistance)
  • Several years of experience as an Executive Assistant, Senior Office Assistant, or in a comparable executive support role
  • Experience in a regulated environment (pharmaceuticals, healthcare, medtech) strongly preferred
  • Proven experience in contract management and coordination with external service providers
  • Excellent MS Office skills (Outlook, PowerPoint, Excel, Word)
  • Very good German and English skills, written and spoken
  • Exceptional anticipation skills and the ability to act independently without explicit instruction
  • Strong transfer capability and systems thinking — recognizing consequences before they arise
  • End-to-end ownership mindset with high accountability
  • Ability to think several steps ahead and manage topics holistically
  • High attention to detail combined with executive-level judgment
  • Confident, professional demeanor with excellent communication skills
  • Resilience, flexibility, and composure in a fast-paced executive environment
